Office Services Coordinator
Job Description:
The Office Services Coordinator is responsible for supporting administrative operations, coordinating office services, and ensuring efficient day-to-day organizational support in a remote environment. This role manages vendor coordination, administrative processes, internal communications, and logistics that support distributed teams and business operations.
The Office Services Coordinator works closely with HR, IT, facilities partners, and leadership to maintain seamless operations and a positive employee experience across remote and hybrid teams.
This is a fully remote position; however, applicants must currently reside in the United States and be legally authorized to work in the U.S. Applications from individuals residing outside the United States will not be considered.
Key Responsibilities
- Coordinate administrative services and operational support for remote teams
- Manage vendor relationships, including office supplies, shipping, and service providers
- Support onboarding logistics such as equipment coordination and documentation
- Assist with scheduling meetings, coordinating calendars, and organizing virtual events
- Maintain internal documentation, policies, and operational procedures
- Support internal communications and cross-functional coordination
- Track and manage operational budgets, invoices, and expense reporting
- Assist with facilities coordination for hybrid or physical office needs if applicable
- Provide general administrative support to leadership and departments
- Ensure efficient workflow and continuous improvement of administrative processes
Required Qualifications
- Associate or Bachelor's degree in Business Administration, Operations, or related field
- 2–4 years of experience in administrative support, office coordination, or operations roles
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office or similar productivity tools
- Ability to manage vendors and coordinate logistics effectively
- Strong attention to detail and problem-solving skills
- Ability to work independently in a remote environment
Preferred Qualifications
- Experience supporting remote or distributed teams
- Familiarity with collaboration tools such as Slack, Microsoft Teams, or Zoom
- Experience with expense management or procurement systems
- Knowledge of basic facilities or office operations processes
- Experience in fast-paced or high-growth environments
